Digital T&M tracking vs paper forms
Paper T&M pads are fast in the rain. They fail in the office: missing pages, unread rates, and signatures that never reach billing. Digital tracking is worth it when the ticket has to survive the handoff from crew to invoice.
What paper still does well
A carbon pad needs no signal, no login, and no training. Foremen who write extras all day can fill a slip in seconds. If the job is one extra and the GC signs in ink before anyone leaves, paper can still work.
Where paper leaks money
Pads get wet, folded, or left in a truck. Photos crop the rate block. The office retypes hours into a spreadsheet and invents classes the crew never wrote. Revisions live in email. By the time the invoice goes out, nobody can prove the original line.
What digital has to copy from the pad
Speed. If the app is slower than a pad, crews will not use it. The digital ticket still needs labor, equipment, materials, project rates, and a signature on site or from a link. A timesheet export is not a digital T&M ticket.
When to switch
Switch when extras are frequent, equipment hours matter, more than one person touches the ticket, or the GC wants a PDF that matches the bill. Purpose-built T&M / LEM software is the tool for that loop. A full GC suite is optional.
FAQ
Is paper T&M still acceptable?
Yes when the extra is simple and the signed pad actually reaches billing. It fails when tickets are frequent or equipment and materials have to travel with the labor line.
Does digital T&M require a full construction suite?
No. Subcontractors who only need tickets, rate sheets, and approvals rarely need a GC project-management platform.
